Archiving & Call Centre Solutions

The challenge

With the increasing use of personalized documents, the ability to store and view exactly what has been distributed is crucial. Therefore, archiving is a topical issue for many companies.

In some situations archiving is important for legal reasons. However, archiving is also frequently important for customer service purposes, especially in Call Centres. The capability to rapidly retrieve an image of a document is an important component of both customer service and organisational efficiency.

Different archiving applications include:

  • Snapshot of the print run
  • Call Centre Viewing
  • Long-term archival storage and retrieval
  • Integration with Document Image Processing

Depending on the application, your solution may require the use of several index terms and may need to cross-relate several archives or even several applications. Integration into other systems may need to be considered.

These days an archive solution must also have the capacity to re-print individual and batch documents locally and over a network, and distribute documents electronically (e.g. as an email). The ideal solution should be tailored to your particular situation, as the most appropriate archive format will vary depending on the application and which factors are most important to you (e.g. storage requirements versus dot for dot exact true image, web-based viewing or email distribution).

The solution

PrintSoft has a range of solutions to suit your exact circumstance. The flagship PrintSoft product, PReS, enables jobs to be archived in a variety of formats:

  • Adobe PDF
  • PAF (PrintSoft Archive Format)
  • TIFF
  • AFPDS
  • PCL
  • JPEG
  • BMP
  • PCX/DCX
  • Windows Metafile

Adobe® PDF is commonly used for web-based viewing or as email attachments. PAF, and its associated PAX index, is frequently used for in-house archiving of large numbers of similar documents due to its small file size and hence fast archive and retrieval times. Images such as JPEG or TIFF may be used for dot for dot exact copies but have larger storage requirements.

Archiving and retrieving can involve just a few easy steps with PReS:

  • Take your existing PReS script for print applications
  • Add a few simple commands to set up the Archive and nominate index fields
  • Generate the Archive and index files
  • Import the document index into the system database
  • Retrieve any page quickly and efficiently
  • View pages by a number of different viewers depending on application and archive format
