Effective direct marketing involving billing statements, letters
or other documents begins with a clean database and an attractive,
eye-catching mail piece. However, you also need to know which
documents were sent out, and customer service demands that
people are not sent multiple copies. Hence accountability
(being defined as mailing 100% of your intended database with
no duplicates) is an important issue.
Problems with printers or finishing equipment (cutting, inserting
and enveloping machines) can prevent some intended recipients
being mailed their document. Pages can be jammed in a printer
or documents can be damaged in a finishing machine and not
included in the initial job run. While these cases may not
be common, the increasing demand for accountability requires
that you know which items have been sent and which have not.
This allows reprinting of missing documents to complete the
mailing. Labour costs and efficiency dictate that an automated
process does this document checking.
The solution
PrintSoft can provide an integrity checking solution. Such
a solution involves comparing the printed documents with the
finished mail items and automatically reprinting any missing
documents.
During printing, PReS prints an Optical Character Recognition
(OCR) ID number or barcode on the document and writes the
details to a central database. During the finishing process
an image camera scans and records all successful documents
and sends a list file containing these details to the central
database. By comparing printed and finished (e.g. enveloped)
documents an Error Data file is created for automatic reprints.

Reprints may be produced on the original production printer
or may be printed on a separate lower speed printer so as
not to interfere with the larger production jobs. If a separate
printer is used then the documents may need to be automatically
reformatted for a different print stream.
A user interface can be provided for machine operators. This
allows people to overview all print jobs, ascertain each document’s
status, send missing documents for reprint, and delete or
change the status of jobs and documents. In addition the Administrator
Tool can provide errors and warnings, a log of the production,
and statistics. Error information can be available in 1 second
making real time control a reality!
